Project Coordinator for Billing and Invoicing
CTG is hiring a Project Coordinator for Billing and Invoicing to assist the Project Manager in delivering projects in a rollout deployment environment in Bentonville, Arkansas
CTG is seeking an individual that is deadline driven and has prior experience with billing, forecasting and quickbase experience.
General Information:
Project Duration: 12 months in duration
Drug testing and/or other employment related inquiries may be conducted
Candidates needs to be able to work 1st/2nd/3rd shift hours Sunday nights through Friday nights (5 nights/days per week, weekend work will be kept to a minimum).
Prior experience providing technical support to Techs in the field OR Project Coordination / Logistics experience strongly desired but not required.
Need to be able to keep detailed documentation and interpret instructions/scripts.
Need to be able to assess when something isn't going the way it should, and have confidence to raise hand when help is needed.
Communication skills need to be very strong as well as written communication. No exceptions.
Comfort with general technology and client will be able to train on technical specifics of the job role
All will work onsite at the client office in Bentonville, AR

Lifecycle of all Billing to Invoicing
Process Staging Recoveries
Field Billing Recoveries
3rd Party Billing
Freight Billing - Recoveries
Monitor Invoice Payments
Implemented new processes to help reduce Aged Tickets
Processed monthly penalty
Tracked projects through quickbase
Equipment Tracking:
Gather tracking numbers from shipping vendor or provided website
Track all equipment deliveries to the stores
Call stores to verify equipment is on site and in secure location
Installation Monitoring:
Contact customer to confirm installation date
Monitor installation Work Orders to ensure Work Orders are scheduled correctly in the dispatch system
Call install tech day before installation to confirm installation date and time. Escalate any issues to PM
Ensure install tech has Installation Guide and any other installation info
Monitor install tech onsite time and implement escalation process if tech is a no show, late, etc. (on install days). Escalate any issues to PM.
Post-installation calls to select stores to ensure equipment is operating as planned and document if issues exist
Post Installation:
Track outstanding installation issues and resolve ? missing equipment, wrong equipment, OBFs, etc.
Work with staging center to get missing parts to stores

Skill Requirements:
Proficient in Excel, Word
Database experience a plus
Education and Background Requirements:
High School Diploma
Retail Industry experience
Deployment experience a plus

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
